A white-label SEO report must help an agency explain what changed, why it mattered and what happens next. A dashboard full of numbers is not enough if the client cannot connect work, search visibility and qualified enquiries.
This white-label SEO reporting checklist is for agencies building a repeatable client-facing process. It covers data access, scope, completed work, results, annotations, quality control, branding and ownership without inventing outcomes or hiding risk.
Start with the agreed scope
Restate the market, services, locations, priority pages and reporting period. If the delivery scope changed during the month, record the approved change rather than silently adjusting the report.
A report should distinguish work included in the current plan from recommendations that need separate approval, content, developer time or budget.
Separate work completed from results observed
Completed work may include crawl fixes, title updates, content improvements, internal links, local listing corrections or outreach. Results may include impressions, clicks, enquiries, indexed pages and ranking movement.
Do not imply that activity is an outcome. Show the implementation date and URL so the agency and client can evaluate performance after enough data has accumulated.

Use source-owned performance data
Search Console and analytics should normally remain under the client or agency account, with the partner granted only the access needed for delivery. Reports should identify the property, date range, search type and comparison period.
Do not merge incompatible data sources into one unexplained metric. Search Console clicks, analytics sessions, calls and CRM leads answer different questions.
Report page and query ownership together
Show which page is intended to own each important search intent and whether Google is ranking that URL. This reveals cannibalisation, outdated URLs and opportunities to improve an existing page rather than publish another similar page.

Connect traffic to meaningful conversions

Do not count spam, test submissions or unrelated enquiries as success. Where possible, reconcile website events with the client’s lead or sales data.
Annotate changes and external events
Record launches, migrations, outages, tracking changes, campaigns, seasonality and major search updates. An annotation prevents a later reviewer from misreading a traffic change.
State uncertainty honestly. When evidence cannot establish a cause, describe the relationship as an observation and list what will be checked next.
Make technical reporting actionable
Do not send a raw crawl export without interpretation. Group issues by impact, affected templates, ownership and implementation effort. Show what was fixed, what remains and what needs client or developer input.
Keep severity definitions consistent. A warning from a tool is not automatically a business-critical problem.
Document content and internal-link changes
List the pages created, improved, consolidated or redirected. Record the target intent, commercial owner and supporting role. This protects the site from duplicate pages when different writers work across months.
For internal links, report the source, destination and reason. A sitewide footer link and a contextual editorial link should not be described as the same type of work.
Report link acquisition transparently
For every acquired or earned link, record the live source URL, destination, anchor, placement type, follow attribute, relevance, acquisition method and status. Disclose sponsored or paid arrangements to the agency.
Do not substitute domain metrics for editorial quality. Review the page, audience, outbound-link pattern and relevance. Remove claims that cannot be verified.
